- Conveyancers and solicitors (referred to as Property Lawyers)
- Other professionals, such as mortgage brokers, mortgage lenders etc.. (referred to as Pros)
As a Seller this site helps you to provide the necessary property related information required by both your estate agent and property lawyer so that you can sell your property. We refer to this as Better Upfront Information or a Digital Legal Pack and it is the way that we think all property should be sold. Specifically, our Digital Legal Pack helps remove the duplication of information which normally happens in a property sale, so you only have to provide this information once (instead of separately to your estate agent and then again to your property lawyer). Our Digital Legal pack also helps you to provide this information earlier in the process, so that your estate agent and property lawyer can help identify any issues which may impact the property sale or slow it down. Prospective buyers are also able to review this Digital Legal Pack, helping them to make a more informed decision when making an offer.
As a Seller this site also lets you review a buyers 'buying position' (in a standardised format) as part of reviewing a property offer and to accept/reject the offer. It also enables you to link yourself (by an 'accepted' offer on a property) to a buyer (and anyone below them in their chain) for the purposes of creating a chain and providing transparency to Buyers, Sellers and their Agents throughout the chain.
As a Buyer this Site helps you to document and understand your 'buying position', where possible it will show you how you compare to other buyers looking in your search area(s), it will provide you with a personalised set of recommendations to help you improve your 'buying position' and to help you share this information with Agents and other users (such as Sellers) when accompanying a property offer.
As a Buyer or Seller you can also engage with Property Lawyers and Other Pros, request a quote from them, accept a quote estimate from them or request them to contact you.
As an Agent this site enables you to promote your business and services to users, to receive a Digital Legal pack from a Seller, to receive 'buying position' information from Buyers, to receive valuation requests from Sellers, to receive requests to validate valuation/marketing/offer details input by Sellers, to send a Buyers 'buying position' details to a Seller along with a property offer and to accept/reject the offer on the Sellers behalf. You can also review the 'buying position' details of other Buyers who are within the chain of any buyer who is registered with you.
As a Property Lawyer this site enables you to receive a completed Digital Legal Pack from a property Seller. This may comprise of the relevant completed Law Society Property Transaction Protocol forms including the TA6 (Property Information form), TA7 (Leasehold Information form) and TA10 (Fixtures and Fittings form) which you will be able to print or download, as well as potentially. This site also enables you to provide automated quote estimates or receive requests for quote estimates for conveyancing work.
As a Pro this site enables you to promote your business and services to users, to receive instruction from them to provide services, to quote or to contact them directly.
This policy explains how and for what purposes we use the information collected about you. Please read this privacy policy carefully. By using this Site and any services we offer via this Site, you are agreeing to be bound by this policy in respect of the information that we collect about you.

We may collect and process the following information about you:
- Information you provide to us. You may provide us with information by filling in forms on the Site or by corresponding with us by phone, e-mail or otherwise. This includes information that you provide when you register for an account or subscribe to or use any of our tools or services. We also collect your information should you enter a competition, a promotion or survey, should you contact us or provide feedback on the Site or any of our tools or services. The information you give us may include your name, address, e-mail address and phone number(s). Depending on your use of the Site, it may also include your place of work, job title, the addresses and details of properties that you may need to sell, valuation/offer/marketing details relating to those properties, information and supplementary documentation which is part of your Digital Legal Pack, completed and signed Law Society transaction protocol forms (TA6, TA7 and TA10), your financial information including how you plan to finance any potential purchase(s) (including any relevant documentation to evidence this), your property search preferences and if applicable information required by Property Lawyers and Pros in order to provide services to you. The information can also include a document with your address on it, a document with your photograph on it and a photograph of your face, to be used within the Sites due diligence processes and provide services to Agents, Property Lawyers and Pros.
- Information we collect about you. When you visit the Site we may automatically collect information about your computer, including your IP address, browser type, operating system, device type, information about your visit, your browsing history, and how you use the Site. We may also collect geo-location data. This information may be combined with other information you provide to us, as described above.
- Information we receive from other sources. We may also work closely with third parties (including, for example, business partners, service providers, advertising networks, analytics providers, due diligence providers, identity checking services and search information providers) and may receive information about you from them. This information may be combined with other information you provide to us, as described above.
Collectively, we refer to this as “Your Information”.
We also use Google Maps API(s) and thus your information is also subject to the Google Privacy Policy.
Your Information will enable us to provide you with access to the Site, to supply the services and features of the Site or to administer any promotion or competition that you may have entered via the Site. We may aggregate the information to identify patterns which we can use in our marketing and to help us develop, administer, support and improve our services and features.

When your Digital Legal Pack is shared with an Agent or Property Lawyer in Hipla, Your Information (including data derived from Your Information) can be seen by them. If an Agent has sent you a request via our website to complete a Digital Legal Pack which you act upon, then Your Information is by default shared with them from the beginning, without you having to explicitly share it with them, although you can stop sharing at any point. Once all Sellers have signed a Digital Legal pack and the pack is shared with an Agent, then a subset of the Digital Legal Pack can be viewed on our website (for any potential buyer to view). This subset specifically excludes the following information:

All documents uploaded by Sellers
The answers to any questions which may 'normally' give rise to the name of an individual person.
If an interested Buyer requests access to the above information, a notification request will be sent to the Agent. The Agent will then be able to approve this request and the Buyer will then be able to see this information. The Agent can at any time remove a Buyer's access to this information.
When you share your details with an estate Agent in Hipla, Your Information (including data derived from Your Information) can be seen by that Agent:

They will see any future updates that you make to Your Information (including the effect it has on this data derived from Your Information) until such a time that you de-register from them.
By sharing your details with the Agent, you will also be enabling them to (when appropriate) use Hipla to submit an offer (to a Seller) on your behalf. In doing so, the Seller will temporarily be able to view a reduced subset of Your Information (to see what information they can access see 'Viewing a chain') whilst accepting/rejecting the offer. If the offer is accepted (by either the Seller or the Agent on their behalf) you will be chained to the Seller and a reduced subset of Your Information may subsequently be viewed by any users within the Sellers chain including any Agents these users are registered as a Buyer with (to see what information they can access see 'Viewing a chain').
Alternatively, if a Seller is documenting their position and asks an Agent to verify the offer (i.e. the offer was originally input into Hipla by the Seller and not the Agent), then if you (as the Buyer) are registered with that Agent they may directly chain you to a Seller, which means a reduced subset of Your Information may subsequently be viewed by the Seller, by any users within the Sellers chain and any Agents these users are registered as a Buyer with (to see what information they can access see 'Viewing a chain').
You can de-register from an Agent at any time. If you do so they will no longer be able to access Your Information in Hipla (apart from your contact details), submit offers on your behalf to Sellers or chain your details to a Seller.
You may receive a request from a Pro via the Site to complete a due diligence process for which you will need to present documentation to facilitate this. The due diligence check is provided by the third party company Yoti Limited and by using this functionality you are also bound by their Privacy Policy which can be found here https://www.yoti.com/privacy
When you request a property valuation from an Agent in Hipla, your name, phone number(s), email as well as property address, property characteristics and your estimated property valuation can be seen by the Agent.
When you request an Agent to verify a property valuation, marketing or offer details, then your name, phone number(s), email as well as property address, property characteristics and any information you have entered for verification can be seen by the Agent.
Additionally, as part of the offer verification process you may be chained to the Buyer in Hipla, which means a reduced subset of Your Information may subsequently be viewed by any users within the Buyers chain including any Agents these users are registered as a Buyer with (to see what information they can access see 'Viewing a chain').
If a Seller already has your email address and registers you as the Buyer of their property, you will be notified and asked to approve chain access to a reduced subset of Your Information. Alternatively, if an Agent registers you as a Buyer of a specific property but you are not registered as a Buyer with them in Hipla you will also be notified and asked to approve chain access to a reduced subset of Your Information.
In either case, if you approve chain access you will be chained to the Seller, which means a reduced subset of Your Information may subsequently be viewed by the Seller, by any users within the Sellers chain and any Agents these users are registered as a Buyer with (to see what information they can access see 'Viewing a chain').
When you accept an offer in Hipla you will be chained to the Buyer, which means a reduced subset of Your Information may subsequently be viewed by any users within the Buyers chain including any Agents these users are registered as a Buyer with (to see what information they can access see 'Viewing a chain').
The information that you can see about a person in a chain depends on your Hipla relationship to that person.
A Seller is able to see the following information about a potential Buyer and anyone BELOW that potential Buyer in the chain (whilst reviewing an offer), or their own Buyer(s) and anyone BELOW them in their chain (if they are already chained to the Buyer(s)):

Buyers and Sellers can request a Pro to perform a service for them, provide a quote, accept a quote estimate or to contact them directly. In order to provide a more personalised service to you we will send them your name, phone number(s) and email address along with any information you provide on the form(s) as part of your request.
If you instruct a mortgage or financial advisor via Hipla, as well as contact information you will also be giving Hipla the authority to give them access to be able to view and edit your Hipla mortgage financial information, including the ability to view and upload the necessary documentation to Hipla (including your agreement in principle certificate and mortgage offer document).
If the mortgage advisor alters/amends any of your Hipla mortgage financial information (including mortgage related documentation) then any estate agents that you are registered with (as a buyer) will also be able to see these changes (including documentation changes) which may put you in a better buying position.
We retain access to all personal information that we have collected from you.
If our business enters into a joint venture with or is sold to or merged with another business entity, Your Information may be disclosed and ultimately transferred to our new business partners or owners.
If we offer or supply a service to you that is provided on our behalf by a third party we may have to pass Your Information to them in order to deliver the service. By using this Site you consent to us providing Your Information to the third parties instructed by us to provide such services. We may also use third parties to provide services on our behalf which may include processing (but not using themselves) Your Information e.g. to complete partial addresses or to augment the information we hold about you.
Apart from the features outlined previously, we will not otherwise disclose, sell or distribute Your Information to any third party without your permission unless we are required to do so by law.
Access to, changing or removing the information we hold
Registered users of this Site can update their information or change their settings once logged in.
Users of this Site can request we provide them with a copy of the personally identifiable information we hold by contacting us here.
